Terms and Conditions

Conference registrations are non-refundable but may be transferred to a colleague if required. The place can only be transferred once for free. After that, a second or subsequent transfer will incur a fee of $150 USD per transfer. Name substitutions can only be made within your own company/defense and if there is a difference in the registration fee payable then an invoice will be issued.

Room type requests cannot be guaranteed and will be allocated on a first-come, first-served basis.  We reserve the right to change room reservations contingent upon availability. In such cases, differences in costs will be reimbursed or invoiced accordingly. Hotel room bookings may be changed before November 1, 2023 at no extra cost.   

Event cancellation

If the Conference cannot be held or is postponed due to events beyond the control of the conference organizers (force majeure) or due to events which are not attributable to wrongful intent or gross negligence of the conference organizers, the conference organizers cannot be held liable by delegates for any damages, costs or losses incurred, such as costs for transportation, for accommodation, costs for additional orders, other financial losses, etc. Under these circumstances, the conference organizers reserve the right to either retain the entire registration fee and to use it for a future conference, or to reimburse the delegate after deducting costs already incurred for the organization of the conference and which could not be recovered from third parties. Force majeure: The parties’ performance under this contract is subject to acts of God, war, government regulations, threats or acts of terrorism or similar acts, government travel advisories, disaster, strikes, civil disorder, decrease of transport facilities, fire, flood, any undesirable weather or any cause beyond the parties’ control, making it inadvisable, illegal or impossible to perform their obligations under the Agreement.

If the face-to-face event must be cancelled, HEP DART 2025 will, if possible, be held virtually and delegate registrations will be transferred to the virtual event. The difference in price between in-person attendance and virtual attendance will be refunded.  All ancillary costs such as cancelled flight or transportation will not be the responsibility of HEP DART 2025 since most the airlines allow rebooking cancelled tickets for a future trip.
